1. Booking & Reservations

A booking is confirmed only when PermuTours receives a formal confirmation via email, online booking form, or WhatsApp inquiry, along with the agreed advance deposit. By placing a booking, you confirm that you have the authority to accept these terms on behalf of yourself and all members of your traveling party.

2. Payments & Pricing

  • Deposit Requirement: A non-refundable deposit (typically 20% to 30% of the total tour fee) is required to secure park permits, mountain crew reservations, and accommodation bookings.
  • Balance Payment: The remaining balance must be paid prior to or on arrival in Tanzania before the start of your tour, unless explicitly agreed otherwise in writing.
  • Currency & Bank Fees: Prices are quoted in USD unless specified otherwise. Any bank transfer fees or international transaction charges are the responsibility of the client.
  • Price Alterations: PermuTours reserves the right to adjust tour prices in the event of unforeseen increases in national park entry fees, government taxes, statutory charges, or fuel price surcharges beyond our control.

3. Cancellations & Refunds

If you or any member of your party needs to cancel a confirmed booking, notice must be given in writing via email. The following cancellation charges apply based on the date notice is received:
  • More than 60 days before start date: Deposit forfeited; remaining funds refunded.
  • 30 to 60 days before start date: 50% of total tour cost charged.
  • Less than 30 days before start date: 100% of total tour cost charged (no refund).
Note: Park permits and domestic flight tickets already purchased on your behalf are non-refundable under all circumstances as per statutory regulations.

4. Travel & Medical Insurance

It is a mandatory condition of booking with PermuTours that all clients possess comprehensive travel insurance. Your policy must explicitly cover high-altitude trekking (where applicable, e.g., Mount Kilimanjaro up to 5,895m), medical emergency expenses, emergency air evacuation (e.g., AMREF Flying Doctors), trip cancellation, and lost luggage.

5. Health, Fitness & Risk Acknowledgment

  • Health Status: Mountain climbing and wildlife safaris carry inherent physical demands and risks. Clients are responsible for ensuring they are physically fit and healthy enough to participate.
  • Pre-existing Conditions: You must inform PermuTours prior to travel of any medical conditions, allergies, or physical impairments.
  • Guide Authority: Our head mountain guides and safari leaders reserve the absolute right to modify or terminate a client’s participation if their health or altitude sickness poses a danger to themselves or others.

6. Itinerary Changes & Unforeseen Events (Force Majeure)

PermuTours makes every effort to adhere to confirmed itineraries. However, we reserve the right to modify routes, accommodations, or schedules due to unpredictable weather conditions, natural disasters, road conditions, flight cancellations, or political events (Force Majeure). PermuTours is not liable for extra costs incurred due to such unavoidable events.

7. Passport, Visas & Documentation

Clients are solely responsible for obtaining valid passports (valid for at least 6 months beyond the departure date), entry visas for Tanzania, vaccination certificates (e.g., Yellow Fever where applicable), and all required travel documents.

8. Limitation of Liability

PermuTours operates as a ground tour operator utilizing third-party lodges, camps, airlines, and transport services. While we take every precaution to ensure safety and quality, PermuTours is not liable for injury, loss, damage, death, delay, or inconvenience caused by third-party suppliers or factors beyond our direct control.

9. Governing Law & Jurisdiction

To ensure a clear legal framework for our international travelers, all bookings and operational services with Permu Tours Limited are managed under local statutory protections.

  • Governing Law: These Terms and Conditions, along with all booking agreements and safari services provided by Permu Tours Limited, shall be governed by, interpreted, and enforced exclusively in accordance with the laws of the United Republic of Tanzania.
  • Amicable Resolution: In the event of any dispute, claim, or controversy arising out of or relating to your safari booking, both parties agree to first attempt to resolve the matter amicably through direct, good-faith negotiations.
  • Exclusive Jurisdiction: If an amicable settlement cannot be reached, you explicitly agree that any legal proceedings, lawsuits, or dispute resolutions will be subject to the exclusive jurisdiction of the competent courts of the United Republic of Tanzania (customarily initiated through the High Court of Tanzania, Commercial Division).

Cancellation & Refund Policy

Because safari permits, lodge reservations, and mountain trekking logistics require advance non-refundable commitments in Tanzania, our cancellation policy applies to all confirmed bookings.

1. Cancellation Request Notice

All cancellation requests must be submitted in writing via email to [email protected]. The date of receipt of the cancellation email by PermuTours will serve as the official cancellation date used to compute applicable refund or fee percentages.

2. Standard Cancellation Fees

If you or any member of your booking party cancels a confirmed tour, the following fee structure applies based on the timing of your written notification prior to departure:

3. Trip Postponement & Date Changes

If you need to reschedule your trip instead of canceling entirely:
  • Rescheduling requests made more than 45 days prior to departure can usually be accommodated free of charge, subject to lodge availability and seasonal price differences.
  • Rescheduling requests made within 45 days of departure may incur administrative fees and third-party rebooking charges (e.g., hotel penalty fees or re-issued park permits).

4. Cancellations by PermuTours

We reserve the right to cancel or modify a tour in the event of unpredictable external events outside our control (Force Majeure)—such as natural disasters, extreme weather conditions, road closures, civil unrest, or major safety hazards. In such rare instances, PermuTours will offer you the choice of:
  • An alternative departure date or equivalent replacement tour.
  • A tour credit valid for up to 24 months.
  • A full refund of all recoverable funds received minus third-party non-refundable permit fees.

5. Early Departure & Unused Services

No refunds or credit notes will be issued for any unused portion of a tour, safari, or mountain trek once the trip has commenced—including voluntary early departure, illness, altitude sickness on Kilimanjaro, late arrival, or missing pre-arranged transfers.

6. Mandatory Travel Insurance

Due to the strict nature of tour cancellations in Africa, PermuTours strongly advises all clients to purchase comprehensive travel insurance at the time of booking.   • Failure to Pay: Failure to remit the final balance by the designated due date constitutes a material breach of contract. Permu Tours Limited reserves the operational right to treat your booking as canceled, retain your 30% deposit, and apply standard cancellation fees.
  • Permit Exclusions: Certain high-demand internal bush flights or special park permits (such as night game drive authorizations or specific wilderness overnight camp concession fees) may require full, immediate payment at the time of booking, independent of the standard deposit timeline.
  • Payment Methods & Bank Fees: Payments must be made via Electronic Telegraphic Bank Transfer (SWIFT Wire) to our verified Tanzanian corporate USD bank accounts, or via our secure Online Credit Card Payment Portal.
